Engage your securities counsel, see who works on your company through each firm, and keep every outside party on one ledger.

What to do
Engage your securities counsel by inviting one attorney from Settings › People › Firms; if they belong to a firm on TakePublic, the firm seats colleagues without another invite from you.
- Select Invite counsel (Invite firm once anything is listed), enter the attorney's email and send.
- The invitation shows as Invited until they accept, with Resend invitation and Revoke invitation in its menu.
Auditor access comes with Core, after launch. Monitor and Section 16 need no auditor: securities counsel reviews and signs off Forms 3, 4 and 5, and the audit covers the 10-K and 10-Q. An auditor seat a company already holds keeps working.
One ledger for every outside party
Firms and providers lists each outside party once: engaged firms, invitations still out, and provider records with no seat. A provider record and an engaged firm of the same kind and name are one row. Named in your 10-K marks the audit firm your filing names before anyone from it holds a seat.
Every seat on your company can read the firms. Company admins read the provider records, send invitations and can End engagement, which removes the firm's access at once, along with the deadline reminders its people had set for your company. A person you invited directly keeps their own seat and reminders.
The company sets no notifications for a firm's people: each chooses their own under Settings › Notifications › My notifications. Their own work, such as a review request or a stalled filing waiting on them, reaches them by default.
Who signs off your filings
The first counsel seat on your company becomes the default for filings, and the line over the ledger names them ("New filings go to Priya Raman for sign-off."). To hand it to another counsel, select Make default for filings in that row's menu. When the default's seat ends, the longest-standing remaining counsel seat takes over.
Each person seated through a firm carries their title (Partner, Associate, Paralegal; Engagement partner, Manager, Staff; Preparer) and a chip saying what they may do on your company: Signs off, Prepares, both, or Reads only for a law firm (Prepares once you turn on Can prepare filings), Attaches report or Reads only for an audit firm, Drafts for a preparer firm.
The firm sets titles and can narrow a person on your company; only a person marked Signs off can sign off your filings, and the audit trail notes the firm the person acted through.
A preparer firm drafts and ties out your filings; your own people send them. Submit belongs to your company admins and the company users you allow to transmit on Team, never to a firm. If your preparer files on its own EDGAR account instead, mark the deadline Filed outside TakePublic.
What the switches allow
A preparer or law firm's record sheet carries the company's switches for that firm; a preparer or counsel seat you added directly carries the same ones on its Team sheet. Only a company admin changes them, and the audit trail records who changed each and when.
A preparer firm starts with the first three on and Can choose who files off; a law firm starts with all off, and the switches under Can prepare filings act only while it is on.
Turn everything on turns every switch on in one step, after one confirm; each switch stays its own to turn off again.
- Can send to counsel: the firm sends your filings to counsel already on the company. Sign-off, approvals and sending to EDGAR stay with you.
- Can set up insiders: the firm sends insiders the EDGAR setup requests (codes, delegation, access steps and powers of attorney) and adds an email or mobile where none is on file. Adding and editing people, and changing a contact on file, stay with you.
- Can keep supporting records: the firm attaches and asks for broker confirmations and plan statements, confirms they match, and records the 10b5-1 plans and holdings insiders report. Pre-clearance, powers of attorney and who is on the roster stay with you.
- Can prepare filings (a law firm or a counsel seat): its attorneys and paralegals start Forms 3, 4 and 5, record transactions, upload forms and send them to counsel. Another reviewer signs off a form they prepared, unless no other reviewer here can. The insider roster and sending to EDGAR stay with you.
- Can choose who files: the firm chooses who transmits your Section 16 forms (TakePublic, your current agent or a firm on the company, its own included) and the Who files line names who chose. Company admins keep the choice too, and a company user's Team sheet carries the same switch while their seat works on Section 16.
Removing one person
Ask the firm to remove, in a person's menu on the firm's sheet, emails the firm's admins your request and an optional note; the row reads "Asked Sep 16, 2026" until the firm acts, and access stays meanwhile. Exclude from this company removes that person's access at once, whatever the firm's settings say; Restore access undoes it.
An emailed sign-off link you sent an excluded attorney stops working, unless they also hold their own counsel seat on your company. Restoring access does not reopen the link; send a new one if you still want them to sign.
